Kenya’s Social Health Authority (SHA) has extended the deadline for healthcare facilities to migrate to approved Health Management Information Systems (HMIS) to November 30, 2026, giving hospitals and other healthcare providers an additional month to complete the transition.

The extension means healthcare facilities still using the SHA Provider Portal have until the end of November to migrate to approved HMIS platforms before access to the existing portal is deactivated.

In a joint notice issued on Friday, October 30, 2026, SHA and the Digital Health Agency (DHA) said the decision followed requests from healthcare providers and progress recorded during the ongoing migration exercise.

“The extension follows requests from healthcare providers and reflects the significant progress achieved over the past month,” the agencies stated.

The revised deadline is expected to give facilities that have not completed the migration more time to finalise the process and avoid disruptions to healthcare administration and claims management.

SHA announces final HMIS migration deadline for healthcare providers

SHA and DHA have warned that access to the SHA Provider Portal will be deactivated effective November 30, 2026.

Healthcare facilities that fail to migrate to approved HMIS platforms within the extended period risk losing access to essential functions currently supported through the portal.

These include service verification, pre-authorisation and claims submission and processing.

The agencies cautioned that failure to complete the migration could disrupt healthcare operations and potentially affect the timely delivery of services to beneficiaries under the Social Health Authority.

“Healthcare providers are advised to treat this as the final transition deadline and take the necessary steps to ensure compliance,” the notice stated.

The warning places pressure on facilities that are yet to complete the migration, particularly those operating under public, private and faith-based healthcare arrangements.

How many healthcare facilities have migrated to HMIS?

The latest figures released by SHA and DHA show varying levels of progress among healthcare facility categories across Kenya.

Public Level 2-4 facilities have achieved full compliance, with all 6,427 facilities successfully migrating to approved HMIS platforms.

Public Level 5 facilities have also recorded significant progress, with 22 out of 28 facilities completing the transition, representing 79 per cent.

However, migration among Faith-Based Organisation (FBO) facilities remains lower, with 190 out of 518 facilities successfully transitioning, equivalent to 37 per cent.

The agencies also reported that 371 private healthcare facilities had successfully transitioned to approved HMIS platforms. The notice did not specify the total number of private facilities targeted or their overall migration percentage.

The figures highlight the differences in migration progress across healthcare facility categories, with FBO facilities recording the lowest reported completion rate.

SHA and DHA described the achievements as an important milestone in Kenya’s digital health transformation agenda, saying the transition would support a more integrated, efficient, accountable and reliable healthcare ecosystem.

DHA provides technical support to facilities yet to migrate

The Digital Health Agency has maintained technical support services for healthcare facilities experiencing difficulties completing the HMIS migration.

The assistance includes HMIS onboarding and system integration, technical troubleshooting, resolving system-related challenges, user guidance and capacity building.

DHA is also working with HMIS vendors to address outstanding implementation issues that could delay the migration process.

Facilities requiring technical assistance have been advised to contact the agency through its official support channels.

Healthcare providers can reach DHA through:

Facilities seeking assistance should provide their facility name, contact person’s details and a brief description of the technical challenges encountered.

The agency says this information will help facilitate timely assistance and resolve outstanding migration issues.

SHA assures healthcare providers on pending claims

Meanwhile, SHA and DHA have assured healthcare providers that claims already submitted through the SHA Provider Portal will continue to be processed despite the planned deactivation.

“Claims already submitted through the SHA Provider Portal will continue to be processed in accordance with the applicable requirements,” the joint notice stated.

The assurance addresses concerns about the potential impact of the transition on claims processing as healthcare facilities move to approved HMIS platforms.

SHA Chief Executive Officer Dr Mercy Mwangangi and DHA Chief Executive Officer Eng. Antony Lenaiyara reaffirmed their commitment to working with healthcare providers to ensure a smooth transition without compromising the continuity of services for SHA beneficiaries.

The two agencies have urged facilities that are yet to migrate to take advantage of the additional month and complete the process before November 30, 2026.

The transition forms part of Kenya’s broader digital health transformation efforts, aimed at improving efficiency, transparency, accountability and integration in the delivery and management of healthcare services.

For healthcare providers still operating through the SHA Provider Portal, the November 30 deadline marks the final opportunity to complete the migration before the existing platform is deactivated.
